Configure HTML Security in Microsoft Office Outlook

Microsoft Office Outlook may block or warn before sending MLS reports that use HTML code (HTML link or Embedded HTML). (To fix a CDO Error, see CDO Error at the bottom of this screen or the Fix CDO Error related article.) Blocking HTML code is intended to prevent junk email senders from identifying your address as active. However, it may also block legitimate HTML email code (such as used by MLS reports). The warning is to help prevent some virus from automatically sending itself out through your Outlook email address book without your knowledge.

 

To set Outlook 2003 (or later) to not block sending HTML code, you can either (1) turn off its "Don’t download pictures or other content automatically in HTML e-mail" security option; or (2) add www.ctimls.com to your Internet Explorer’s Trusted Zone and set Outlook to permit downloads from web sites in your Trusted Zone.

 

I. To turn off the "Don’t download pictures or other content automatically in HTML e-mail" option in Office Outlook 2003 (or later):

  1. Start Outlook. 
  2. On the Tools menu, click Options
  3. Click the Security tab, and then click Change Automatic Download Settings. Automatic Picture Download Settings dialog box
  4. In the Automatic Picture Download Settings dialog box, un-check Don’t download pictures or other content automatically in HTML e-mail check box.
  5. To stop the Outlook warning when sending messages with HTML code, un-check "Warn me before downloading content when editing, forwarding, or replying to e-mail"
  6. Click OK twice.

II. To add CTI Navigator’s Internet site to Internet Explorer’s Trusted Zone:

  1. In Internet Explorer open Tools   
  2. Select Internet Options > then Security tab
  3. Click on Trusted Sites > then Sites button
  4. Un-check “Require server verification (https:) for all sites in this zone"
  5. In “Add this Web site to this zone”, type www.ctimls.com
  6. Click Add button > then OK button.

III. To add CTI Navigator to Outlook 2003’s Safe Senders list:

  1. Open Outlook. 
  2. On the Tools menu, click Options
  3. Click the Security tab, and then click Change Automatic Download Settings.
  4. In the Automatic Picture Download Settings dialog box, check the “Don’t download pictures or other content automatically in HTML e-mail” check box.
  5. Check "Permit downloads in email messages from senders and to recipients defined in the Safe Senders and Safe Recipients Lists used by the Junk E-mail filter", and check "Permit downloads from Web sites in this security zone: Trusted Zone." (www.ctimls.com should be in your Trusted Zone as described above.)
  6. Click OK twice to close the Tools screens.

IV. To stop Outlook 2003 (or later) from always displaying a warning whenever sending HTML e-mail you can clear the "Warn me before downloading content when editing, forwarding, or replying to e-mail security option as follows:

  1. Open Outlook > Tool > Options
  2. Click the Security tab, and then click Change Automatic Download Settings.
  3. In the Automatic Picture Download Settings dialog box, un-check "Warn me before downloading content when editing, forwarding, or replying to e-mail"
  4. Click OK twice.

Notes:

  1. Before changing any security option in Outlook it is highly recommended that you install an effective anti-virus program.
  2. Microsoft Outlook automatically blocks most attachments (with extensions such as bat, chm, exe, hlp, inf, msi, prf, scr, temp and url).

CDO Error 

To be able to send email through Microsoft Outlook from programs other than those in Microsoft Office (such as CTI Navigator), you should install Outlook's Collaborative Data Objects (CDO) feature from Microsoft (as follows):  go to Start > Control Panel > Add/Remove Programs > select the appropriate "Microsoft Office" > click the Change button > select "Add or Remove Features" > in Outlook 2003 (and later) click the Advanced Customization button (earlier versions do not have this button so skip this step) > click the plus sign (+) beside "MS Outlook for Windows" > click the down arrow beside the red X in front of Collaborative Data Objects > select Run from my computer > click the Update Now button > if prompted, insert the Microsoft Office CD in your CD drive > click OK.
